- To request refinement or additional aligners, please see the Additional Aligners (Refinement) Requests article
Adding a New Patient
You can submit a new case by clicking the blue "New patient" button on the lower left-hand side of your 'Action Items' dashboard:
Actions Items Dashboard
Left: Overview panel to review case submission efficiency Right: Expanded patient statuses
Lower Left: Add new patients with the customer creator Lower Right: In-app help available by selecting Support
Patient Creation / Case Submission
You will first be asked if you are submitting a comprehensive aligner case or a standalone retainer case.
Once a selection is made, you will be asked to enter basic details about the patient before continuing:
After the patient is saved, you will be sent to a page with sections for diagnostic materials and treatment goals:
Diagnostic Materials
Note: You may upload the diagnostics in any order that is convenient for you and your team, with progress saving automatically as you go.
Photos
Add photos to the ABO array and click the "Next material" button.

.STLs or PVS Impressions
If you are not able to upload STL files directly within the case submission flow, that is ok!
We’ve made sending in PVS impressions and syncing scanners to our systems even easier.
While going through the case submission flow, there are now three tabs under the scans section:
-
Upload the STL file directly from your computer
-
Mail impressions
- Check each impression to make sure they meet the requirements of our lab
- Place the impressions in a shipping box with the packing slip generated from the Case Creator
- Place the shipping label on the box, and mail it to us
-
Sync with scanner
- For more information on which scanners have a direct lab connection with CandidPro, please see the Scanner Resources article
- If you would like to utilize this option on case submission and connect your scanner with CandidPro's lab, please get in touch with your Account Executive or the Candid Pro Support Team
Once you have either uploaded the STLs, chosen to send impressions, or sync your scanner with our lab, choose next material or return to case tasks to save your draft.
X-Rays
Upload your .jpeg or .png formatted X-ray file(s) here, ensuring they were taken within the last year and are up-to-date. X-rays from an initial case may be used in refinement cases if no new X-ray is taken.
Once you have uploaded the patient's diagnostic materials, you can click 'Save and continue' to continue onward with the remainder of the submission.
Treatment Goals
IPR (interproximal reduction), attachments, and/or bite ramps have been added as optional clinical capabilities for treatment plans.
When submitting a case, you may now indicate if you would prefer CandidPro include any or all of these features when treatment planning, if necessary.
Find more about our design protocols here.
Two questions in the treatment goals section indicate whether you would like to use elastics or cutouts on the patient's treatment plan.
Additionally, the treatment goals section will go over any bite concerns that you may want corrected:
Philips Zoom Whitening is completely optional; you may only opt in during this portion of the case submission, however:
Once your protocols for this case are determined, you will review and submit the case for treatment planning or return to tasks to submit at a later time.
Note: We cannot begin the material review or treatment planning until the case has been fully submitted.
Incomplete submissions, or drafts, will be available under your 'Action Items' dashboard:
Submit for Material Review and Treatment Planning
Once submitted, CandidPro can begin reviewing your patient's case for treatment planning.
- For a case to be fully submitted, you must click the blue "Submit Case" button after uploading all materials (see below). The CandidPro team is not able to review any materials until that button is clicked.
Resubmitting Rejected Materials
Should treatment planners find any mismatch or inconsistencies between the photos and the scans or X-rays submitted, either the photos or scans will be rejected so that they can be replaced with corrected or updated photos. The photos can be replaced directly from your provider portal and on the same patient page, so that new scans and X-rays will not be necessary.
If the scans are rejected, but the photos need editing, simply replace the photos with the edit button, and re-upload your STLs.
To submit or edit rejected photos:
- Navigate to your provider portal and to the patient page in need of new materials. Locate the material rejection notice and click "Resubmit".
- Click the "Photos" tab above and then the "Edit" button.
- Edit or replace the designated photos.
- Click into the "Scans" tab and upload the same STLs as before.
- Complete the submission.
